CHANGE ORDERS

Every extra a customer asks for gets signed, then billed.

Keep agreeing to changes the way you do now, by text, email or voice note. Each one is written up and priced for you to check, and the customer signs it before anyone starts the extra work.

THE JOB TODAY

A yes on Tuesday, a dispute at invoice time

A customer asks for a second outlet while you’re walking the job, you say sure, and the work gets done Thursday. Three weeks later you’re building the invoice, and the price you named is gone, along with any record that they asked. So you eat the cost, or bill a charge nobody signed.

WHAT WE AUTOMATE

From a quick yes to a line on the invoice

Written up, priced, signed

The day a change comes up, the system writes it in your change order format and prices it for you to check. Once you approve, it goes to the customer to sign, then lands in the job file and as a line on the next QuickBooks Online invoice.

Rebuilding changes from memory

You stop scrolling old texts on Sunday night to remember what you promised and what you said it would cost. You stop paying for extra labor and materials out of your own margin because nothing was written down.

HOW WE INSTALL IT

Four steps, and you’re never locked out of your own systems.

  1. A free discovery call, where you walk us through a normal week.
  2. A written plan: exactly what we’ll build and in what order, credited in full toward setup if you move forward.$500written plan, credited toward setup
  3. Build: we build it inside the accounts you already use, QuickBooks, email, your calendar.
  4. Go live. You review what matters, and we run the rest.

WORKS WITH

Built on the books and inbox you already use

Requests come in through your Gmail or Outlook and texts to your own business number. Signed changes post as invoice lines in QuickBooks Online and file to JobTread, or to your job folder in Google Drive or SharePoint.

FAQ

Before you trust it with your pricing

Who sets the price on a change?
You do. The system drafts a price in your change order format, and you check it and change the number before you approve. No change reaches a customer, and no line reaches an invoice, without the approval rules we set with you on the call.
What if the customer pushes back instead of signing?
Then nothing is signed and nothing is billed. Their reply comes to you, because settling a price is your call, not the system’s. Once you agree on a number, the revised change goes back out for signature.
Isn’t this overkill for a small favor I’d do for free?
Then you approve it at no charge, and the record still exists. A free change written down is goodwill the customer knows about. One nobody wrote down is margin you gave away with no credit for it.
Can it use my change order form and the terms in my contract?
It fills in your own change order format, so your wording and signature lines carry over. What your contract requires for changes is yours to decide, so bring it to the call and the approval steps get set up around it.
