Four Steps, In Order

Organize the files first: one location, a small number of folders named for what the business actually does, and the last ninety days pulled to the front so nothing recent gets buried under everything older. Get it on the desktop next. Whatever sits trapped inside a portal or an app comes out through a single download, once, and turns from something you can only look at into a file you actually own. Handle the accounts third, so the business owns its own logins outright and more than one person can get into each one that matters. Write the first prompt last: state the actual goal, the specifics a stranger couldn't guess, and what "done" looks like, in one message, instead of handing someone a topic and walking away.

None of these four cost money. None of them require hiring anyone, human or agent. A business can do every one of them alone, on its own schedule, before spending a dollar on anything. What actually changes is what a paid conversation gets to be about once they're done.

What Changes Once They're Done

A first working session with hired help, human or agent, usually starts by doing the groundwork that never got done. Somebody hunts for a file that should have been easy to find. Somebody chases down a password that only one person ever had. Somebody spends the first ten minutes pinning down what a vague request actually meant, before any of the real problem gets touched. None of that is the reason help was hired in the first place; it's just the cost of skipping the four steps beforehand.

A business that has already done them walks in differently. Real files sit in one findable place. Its own accounts are already in hand, not borrowed from an employee's personal login. What it wants comes out clearly, the way a first prompt should. Paid time goes straight to the actual problem, not to setup that could have happened for free, on the business's own time, the week before anyone got hired.
